Before an event: the objective in one sentence, the audience, the success criteria and the budget per item. After: the review measured against that objective, with the cost per participant. Available in French, English and Italian.

The problem

Many events are held because they always have been, and they are judged on an impression: "it went well". Without an objective set at the start, the review comes down to photos and a satisfaction score. When the time comes to defend next year's budget, there is nothing to show.

What I did

I drew the method from my own events, from a festival of 35,000 visitors to conventions of 1,600 people: one sentence of objective, numbered criteria, a budget per item with its contingency line. I designed the two pages produced, the framing and the review, wrote the alerts, then built and launched the tool.

The result

A tool that produces two documents ready to present. The framing sets what is expected before anything is booked; the review gives the verdict criterion by criterion, the budget variance item by item and the actual cost per participant.

What I learned

The review is decided before the event: you can only measure what you chose to measure. My favourite alert is the one that flags a review with nothing to change. An event from which no correction is drawn has not been looked at honestly.
